VOLUNTEER MANAGEMENT POLICY

Youth Experience in Sport greatly values the contribution volunteers make to help achieve our mission of empowering young people through sport. This Volunteer Management Policy sets out our commitment to providing a supportive, rewarding, and inclusive environment for all volunteers engaged in our activities.
 

PURPOSE

The policy aims to ensure volunteers are properly recruited, supported, trained, and recognised in line with legal and ethical best practices. It defines responsibilities for volunteer management and provides a framework for consistent volunteer involvement.
 

PRINCIPLES
Volunteers enhance our ability to deliver valuable programmes and are not used to replace paid staff.

  • Volunteer opportunities are meaningful and provide personal development benefits.

  • Equal opportunities and inclusivity in recruiting and working with volunteers are actively promoted.

  • Volunteers receive clear information about their roles, responsibilities, and the organisation.

  • Volunteers will be inducted and given relevant training to undertake their roles safely and effectively.

  • Volunteers will be reimbursed for agreed out-of-pocket expenses where possible.

  • There is a designated Volunteer Coordinator responsible for volunteer management and support.

  • Volunteers have access to appropriate support, supervision, and recognition.

  • All volunteers adhere to confidentiality, health & safety, and safeguarding policies.

  • Feedback from volunteers is encouraged to improve volunteering experiences.
     

RECRUITMENT AND SELECTION

Volunteers will be recruited in line with our commitment to diversity and equality through transparent application and selection processes. Suitable candidates will undergo necessary checks (e.g., DBS) where roles require.

INDUCTION AND TRAINING
New volunteers will receive an induction covering organisational overview, policies, role expectations, health & safety, and safeguarding. Ongoing training opportunities will be offered to enhance skills.

SUPPORT AND MANAGEMENT
The Volunteer Coordinator or assigned supervisor will provide regular contact, guidance, and support to volunteers. Procedures are in place to address any issues or grievances.

 

EXPENSES
Volunteers may claim reasonable expenses such as travel and refreshments as pre-agreed and supported by receipts.

REWARD AND RECOGNITION

Contributions of volunteers will be acknowledged through thank-yous, references, social events, and other forms of appreciation.
 

REVIEW

This policy will be reviewed annually and updated as necessary to reflect good practice and organisational needs.
